This policy applies to information collected through https://www.themacrosociety.com, our coaching application and intake forms, our coaching platform (Trainerize), our SMS messaging program, and any related communications.

  • Identifiers: name, email address, phone number, postal address

  • Account credentials: username and password for our coaching platform

  • Health and fitness information: weight, body measurements, body composition, nutrition logs, exercise logs, sleep, habit tracking, progress photos (only if you choose to upload them), and goal information

  • Payment information: handled by our payment processor; we do not store full payment card numbers

  • Communications: messages you send to us via email, SMS, our intake form, or our coaching platform

Information collected automatically

  • Usage data from our website (pages visited, referring sites, device type)

  • Cookies and similar technologies (see Section 7)

Information from third parties

  • Activity data synced from devices or apps you connect to our coaching platform (such as fitness trackers)

3. How We Use Your Information

We use your information to:

  • Deliver coaching services, including reviewing your progress and providing feedback

  • Send you account-related communications, including weekly progress summaries via SMS (if you have opted in)

  • Process payments and manage your account

  • Respond to your inquiries and provide customer support

  • Improve our services and develop new offerings

  • Comply with legal obligations and enforce our Terms & Conditions

4. SMS Messaging Program

If you opt in to our SMS program by checking the consent box on our Intake Form, we will send you coaching-related text messages, including weekly progress summaries, scheduling reminders, and program updates.

We will not share your mobile phone number or SMS consent with any third party for marketing or promotional purposes. SMS consent information is used only to deliver messages you have agreed to receive from us. You can opt out at any time by replying STOP to any message or by emailing lindsey@themacrosociety.com.

5. How We Share Your Information

We share your information only as described below:

Service providers who help us operate the business, under contract and only to the extent needed to perform their service:

  • Trainerize — our coaching and client management platform

  • Twilio — SMS delivery

  • Stripe (or our current payment processor) — payment processing

  • Google Workspace — email, document, and spreadsheet storage

  • Our automation tools (e.g., Lindy.ai) — used to send the weekly progress SMS

Legal and safety — when required by law, subpoena, or to protect our rights, your safety, or the safety of others.

Business transfers — if we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before that happens.

We do not sell your personal information.

6. Data Retention

We retain your information for as long as your account is active and for a reasonable period afterward to comply with legal obligations, resolve disputes, and enforce our agreements. SMS opt-in consent records are retained for at least four years after the date of consent or last message sent, whichever is later.

7. Cookies

Our website uses cookies and similar technologies to enable functionality and analyze traffic. You can control cookies through your browser settings. Disabling cookies may affect website functionality.

8. Data Security

We use commercially reasonable administrative, technical, and physical safeguards to protect your information. No system is perfectly secure, however, and we cannot guarantee absolute security.

10. Children's Privacy

Our services are not directed to individuals under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can remove it.
